Employees and availability
Add, configure, deactivate or reactivate employees
Maintain schedulable employee records, lifecycle state, workspace moves and manager-side Employee Hub access controls.
1. Add or configure an employee
- 1.Confirm the exact Main Organization or department workspace first.
- 2.Open Settings → Employee profiles.
- 3.Add the employee, then open the profile to configure hours, preferences, locations, leave and Work Pattern.
- 4.Use the employee profile to manage Employee Hub access when the employee should have employee-side access.
2. Deactivate an employee
Deactivate removes the employee from active scheduling while preserving the record for history. Current assignments are removed, outstanding Employee Hub invitations are retired and active Employee Hub access is revoked.
Use Deactivate when the employee may return or when historical schedules, timesheets and logs should remain understandable.
Permanent deletion from the archive is irreversible. Use it only when the record should never be restored.
3. Reactivate an employee
Reactivate returns the employee to active staff when the organization still has capacity under its employee limit. Review current preferences, Work Pattern, location settings and future assignments before scheduling them again.
Employee Hub access does not reactivate automatically. Send a fresh Employee Hub invitation if the employee should regain employee-side access.
4. Move an employee between workspaces
When Departments are enabled, Organization Admins can move one active employee between Main Organization and department workspaces. ElShift removes source-workspace assignments and source-specific preferences rather than carrying invalid references into the destination.
5. Manage Employee Hub access from the profile
The employee profile shows the manager-side access state, such as not invited, preparing invitation, invitation pending, expired, failed, account linked, access revoked or plan unavailable.
Managers can send, retry or resend invitations and revoke access where their role and plan allow it. Email alone never grants access; the employee must complete the secure invitation/linking flow.
6. Employee Hub access depends on the plan
Employee Hub access controls are shown on the employee profile only for plans that include Employee Hub. Business and Enterprise include these controls; Starter and Professional do not show them.
