Understand manager access, Members and employee records

Choose the right access path without confusing manager roles, read-only Member access, employee records and Employee Hub access.

1. Keep access and staff records separate

Manager-app access and employee scheduling records are separate. A user account lets someone sign in to the manager workspace. An employee record is the staff profile used for shifts, leave, preferences, Work Patterns and timesheets.

Adding an employee does not grant manager-app login access. Inviting a Member does not create a schedulable employee profile.

2. Choose the right manager-app role

  • Organization Admin: manages organization-wide setup, billing, members, departments and structural settings.
  • Department Manager: manages operational scheduling inside the assigned department or departments.
  • Member: read-only access for review and auditing. Members can inspect their assigned scope but cannot create, edit, archive, restore, delete or administer data.

3. Use Employee Hub access for employees

Employee Hub access is managed from the employee profile. It gives that employee their own employee account without creating a manager-app role.

Do not create a read-only Member account just because an employee needs to see their own schedule. Use the Employee Hub invitation controls on the employee profile instead.

Member is for manager-side review. Employee Hub is for employee self-service access.
